Task Based Requests

Working on a request generated from a task based schedule is different from working on a standard work order because you can work on each task on the request individually. However, you should not close the work order until all tasks are complete.

When you open a task based request, a Tasks link appears at the top of the page to the right of the Work Order Financial link. When you click the Tasks link, all of the tasks included in the work order are listed in the Task Records pane. Clicking a task opens the procedure associated with the task and allows you to print it. You cannot print all of the procedures for an entire work order at once.

You can update tasks individually from this pane, but not all of the task information is displayed. The best way to work on tasks is to run the Task Wizard.

ClosedUse the Task Wizard Sequentially

Using the task wizard sequentially allows you to work on each task in order. When you open the task wizard, the first task appears. When you have finished it, you can click the Next button to move on to the next task. You can also move to the previous task or jump to any other task in the list if needed.

To use the task wizard sequentially:

  1. Click the Task Wizard link.

    The first task in the list appears. The position of the task in the list, for example (1 of 12), and a link to the asset is displayed at the top of the page.

  2. If you are using a bar code scanner, click within the Scan field and scan the item.

    A date/time stamp is added to the task indicating the date and time that you scanned the asset.

  3. If there is an inspection associated with the task, perform the inspection and enter the required scores and comments.

  4. Scroll to the bottom of the page and perform the procedure listed to complete the task.

  5. Once you have finished the procedure, enter the number of hours it took you to complete the task in the Act. field.

    You can use decimal numbers to indicate portions of hours, for example .25 for fifteen minutes.

  6. Select the Completed check box and select a completion code.

  7. Click UPDATE to save the information you entered.

  8. To work on another task you can:

    • Click NEXT to work on the next task in the list.
    • Click PREV to go back to the previous task.
    • Use the Go To drop-down menu to jump to a different task.
  9. When you have finished working on the tasks, close the Task Wizard window.

  10. Refresh the Work Order Tasks window.

    The Task Record pane updates to display all of the information you entered while working in the task wizard.

ClosedUse the Task Wizard By Asset

Using the task wizard by asset disregards the order the tasks are presented and allows you to physically move from asset to asset and perform whatever task is associated with that asset, regardless of the position that task has in the task list.

This is especially useful in situations where technicians are moving about a property where there are many assets to maintain. They can perform their tasks in the order in which they encounter the assets on their rounds without having to first locate the task. They bar-code scan the asset in front of them and the appropriate task appears.

To work on tasks based on assets:

  1. Click the Tasks link.

    The first task in the list appears. The position of the task in the list, for example (1 of 12), and a link to the asset are displayed at the top of the page.

  2. Click into the Scan field.

  3. Scan the asset.

    A series of bullets appears in the field, indicating that the asset was properly scanned.

  4. Click GO.

    The task wizard jumps to the task that corresponds to that asset and displays it.

  5. If there is an inspection associated with the task, perform the inspection and enter the required scores and comments.

  6. Scroll to the bottom of the page and perform the procedure listed to complete the task.

  7. Once you have finished the procedure, enter the number of hours it took you to complete the task in the Act. field.

  8. Select the Completed check box and select a completion code.

  9. Click UPDATE to save the information you entered.

  10. Double-click into the Scan field.

    Double clicking not only places the cursor in the field, but it also selects the content so that the new value you scan will replace the current value.

  11. Scan the asset.

  12. Click GO.

    The task wizard jumps to the task associated with the scanned asset and displays it.

  13. When you have finished working on the tasks, close the Task Wizard window.

  14. Refresh the Work Order Tasks window.

    The Task Record pane updates to display all of the information you entered while working in the task wizard.
